  2. Choose the Assignment Scope:

Example

You have a customer who has an anniversary day on the 15th of the month (1/15/15, 2/15/15, 3/15/15, etc.). On 2/1/15, you assign the customer a quarterly supplemental plan costing $90 a quarter. The new plan will be assigned to the customer and the customer will be billed $90 on 2/15/15.

If you selected Assign on Anniversary, you can enter an "Offset Interval" to specify the additional number of billing intervals after the anniversary day on which you want the plan change to go into effect.

  1. If you selected Assign Immediately or Assign in Future, you can choose your Pro-ration Rule:
  • No Pro-ration: The customer will not be charged or credited for the period between the current date and the next anniversary day, regardless of the result of the proration.
  • Charge Pro-ration ONLY: If the proration results in a charge, the customer will be charged. If the proration results in a credit, the customer will not be credited.

  1. In the Offset Option field, select the method by which you wish to offset the proration period:
  • Enter Offset Months
  • Offset to the Paid Through Date of Master Plan

Enter Offset Months

Select this option if you want to specify a particular number of months by which to extend the proration period. Enter the number of months by which you want to extend the proration period. Aria will extend the proration period to the customer's next anniversary day plus your specified number of offset months.

Example

You have a customer who is subscribed to an annual supplemental plan and has an anniversary day on the 15th of the month (1/15/15, 2/15/15, 3/15/15, etc.), then on 4/1/15, you assign the customer a quarterly supplemental plan costing $90 per quarter. If the offset months is 2, the customer will be billed prorated charges for the new plan from 4/1/15 to 6/14/15, then will be charged $90 on 6/15/15.

Note: The number of offset months cannot make the prorated period longer than the new plan's billing interval.

Offset to the Paid Through Date of Master Plan

Select this option to extend the prorated period to the paid through date of the customer's master plan.

        Example

You have a customer who is subscribed to an annual master plan for which charges are due on the 15th of the month (1/15/15, 1/15/16, 1/15/17, etc., paid through date is 1/14/16), then on 2/1/15, you assign an annual supplemental plan costing $900 a year. If you select the option to offset to the paid through date of the master plan, the customer will be billed prorated charges for the new supplemental plan from 2/1/15 to 1/14/16, then will be charged $900 on 1/15/16.

Note: You cannot use this option if the resulting prorated period is longer than the new supplemental plan's billing interval.

  1. Alternate Pro-ration Start Date: If you do not want the prorated period to start on the current date, click the calendar icon to select the date as of which you want to start the prorated period.

Note: You cannot select an alternate pro-ration start date that will make the prorated period longer than the new plan's billing interval.

Example

If you are assigning a plan on 5/10/15 to a customer who is billed on the 15th of every month and you set the alternate pro-ration start date to 5/1/15, then the customer will be charged a pro-rated amount for the period covering 5/1/15 to 5/14/15. For instance, this option might apply if you have a customer who subscribed to a plan before the subscription was entered in Aria.

If you are assigning a plan on 5/10/15 to a customer who is billed on the 15th of every month and you set the alternate pro-ration start date to 5/15/15, then the customer will be charged a pro-rated amount for the period covering 5/12/15 to 5/14/15. For instance, this option might apply if you do not want a customer to be billed for the subscription until a date in the future.

  1. Select Rate Schedules to select an existing rate schedule to assign to the plan. Select Custom Rates to enter a special rate schedule for the customer.
  2. Click Save Changes.
  3. Review the new supplemental plan assignment.
  4. Click Save Changes.

You will see the message “Plan Assignment Saved“ in addition to information about the plan assignment scope and the proration result. The new supplemental plan is assigned to the customer based on the options that you selected.
