Configuring the Aria-NetSuite Connector

Overview


​NetSuite Bundle Deployment

The NetSuite bundle is an initial configuration package that pre-configures a NetSuite instance to integrate with Aria. Bundles are available in the NetSuite Bundle Repository. Once installed, all of the bundle's contents are automatically inserted into the selected NetSuite instance, making the Aria-NetSuite Connector functionality immediate once the configuration in Aria has been completed.

There are periodic updates to the bundle, and these updates can easily be deployed through NetSuite after they are released. Information about bundle updates is provided when a new bundle is released.

Deploying a NetSuite Bundle

  1. Log in to NetSuite.
  2. Click the Customization tab.netsuite_1_SNAG_nov_2014.jpg
  3. Click SuiteBundler > Search & Install Bundles > List from the menu as shown above. The Search & Install Bundles page displays.
  4. Enter "Aria" in the Keywords field as shown below, and click Search.

  1. Search results display on screen. Scroll down through the results until you see "Aria NetSuite Integration" in the list, then click on this name as shown below. (Aria NetSuite Integration is followed by a version number, e.g. V1.1, V1.2, etc.)

Note: Click the Name column to sort alphabetically from A to Z. The Aria NetSuite Integration bundle should be near the top of the list.

  1. The Bundle Details page displays. Click either of the Install buttons. The Preview Bundle Install page displays.
  2. Show or hide a field in NetSuite by changing its associated drop-down in the Preference column.
  3. After all of the fields have been configured to best suit your needs, click Install Bundle.
  4. Click OK to confirm that you want to install the bundle. 

The Installed Bundles page displays and you see Aria NetSuite Integration listed under the Name column. Check the Status column for this item. Once a green check mark appears under Status, this part of the configuration is complete. If the Status is listed as Pending, intermittently click the Refresh button at the bottom of the page until you see the green check mark in the Status column.

Note: If there are changes in Aria to any fields within the product catalog or account information, all product catalog fields or account information fields are re-sent to Netsuite.


Associate "Aria Consumer Identity" with an employee login

  1. In NetSuite, go to Lists > Employees > New or search. 
  2. Select the employee.
  3. Select Access.
  4. Select Roles.
  5. Add "Aria Connector Access" role.

​NetSuite Bundle Custom Preferences Configuration for Integrating Events with Aria

After installing the bundle, you must configure connector-specific custom preferences. This allows your NetSuite instance to communicate with Aria to pass payment-related data. To configure the custom preferences, please follow the steps below.

  1. In NetSuite, click the Setup tab, then select Company > General Preferences.
  2. The General Preferences screen displays. Click the Custom Preferences tab at the bottom of the screen. The Aria NetSuite Integrations detail pane displays.
  3. Enter your Aria authorization key in the Aria API Auth Key field.

Note: Your Aria Auth Key is located in Aria.  (Configuration > Integrations > Web Service API)

  1. Enter the URL for your instance of Aria in the Aria API URL field.
  2. Select the Aria Enable External Payments check box.
  3. Click Save.

Setting up Accounting Periods

In NetSuite, click the Setup tab, then select Accounting > Manage Accounting Periods from the menu. This displays a menu that allows you to configure your accounting periods.

Transactions that are loaded for a closed accounting period are automatically applied to the next open accounting period.


Enable Token-based Authentication in NetSuite  

  1. In NetSuite, go to Setup > Company > Enable Features (SuiteCloud tab).
  2. Check Token-based Authentication

Configuring the Aria-NetSuite Connector in Aria

Note: You must configure the Aria-NetSuite Connector in NetSuite before you configure it in Aria.

Obtain the Token Key and Token Secret 

  1. In NetSuite, go to Setup > Integrations > Manage Integrations > New. 
  2. Check Token-Based Authentication. 
  3. Click Save. A token key and token secret display.
  4. Record the token key and token secret.  

Configure Aria

  1. Log in to Aria.
  2. Go to Configuration > Integrations > External Services.
  3. Click New. The Create New External Service screen displays.
  4. Select NetSuite from the Destination drop-down.  The following fields display.netsuite.png
  1. Enter your NetSuite External URL, your password, the email address associated with your NetSuite account, and your NetSuite Account ID in the appropriate fields (the Role field is optional).

Note: The NetSuite External URL is found under Customization > Scripting > Script Deployments > Aria Exchange Endpoint

  1. Click Save.
  2. To configure your Aria-NetSuite connector batch scheduling, contact Aria Customer Support.
