NetSuite Reports in Aria

Overview

There are four reports that you can generate in Aria for NetSuite:

  • Batch file level summary
  • Batch session information
  • Detailed error information
  • Record level information

These reports are described in the following sections.

Before you can use these reports, you must enable them in Aria.


Enabling NetSuite Reports in Aria

Before you can access Aria-NetSuite reports in Aria, you must add each of them to an existing reports catalog. Use the following steps.

  1. In Aria, click Analytics and Reporting.
  2. Click Reports.
  3. Click Configuration. This opens a reports configuration pop-up window.
  4. In the reports configuration pop-up window, click Define Catalogs.

  1. After clicking Define Catalogs, a list of all configured report catalogs appears on screen, along with a list of all the reports contained within those catalogs. Use the scroll bar on the right side of the window to find the catalog to which you want to add the NetSuite reports (if you have no catalogs configured other than “Standard,” you can add these reports to the “Standard” catalog).
  2. Scroll to the bottom of the catalog to which you're adding the NetSuite reports, then use the drop-down menu to select Batch file level summary. and click the green + sign to add the report to the catalog (see Figure 37). Repeat this step for the other three reports: Batch session information, Detailed error information, and Record level information.

Note: You can add reports in any order. “Batch file level summary” was chosen as the starting point simply as an example.

  1. After you add the reports, scroll through the on-screen list to confirm that all four reports appear in the list for that catalog. You can close this pop-up window once this has been completed.

Running NetSuite Reports

Once the reports are added to your selected catalog, you can run them using the following steps.

  1. Go to Analytics and Reporting > Reports Run Reports. A screen displays containing all the reports available to you.
  2. Click the name of the catalog that contains the NetSuite reports (in this example, the name is Standard). The folder expands to show all the reports housed in this catalog.

  1. From the list of reports, click the name of the report you want to run. The Run / Schedule Report pane opens in the pop-up window. Set all the criteria to meet your needs (see “Special Report Configurations” below for additional information), then click Schedule! to schedule the report.

Special Report Configurations

You can use the Source Name field to filter your reports. Entering any one of the sources listed in the table below—exactly as it is shown— filters the reports so the results show only what is specified by the source's description.

Note: Source Names are case sensitive, so be sure to enter them exactly as shown below. The batch session information report does not allow for filtering by Source Name.

Results only show credit data and external IDs.

Results only show invoice data, including line items and external IDs.

Results only show non-invoice transactions and external IDs.

reversal

Results only show reversal data, including original line items.


​NetSuite Report Information

Batch File Level Summary Report

The batch file level summary report retrieves information on the number of Aria records that were processed per batch file import into NetSuite. This report gives information about the client number, source ID, source name, log number, last file ID, start time of the batch, end time of the batch, the number of records that transferred correctly, and the number of records that experienced an error.

Batch Session Information Report

The batch session information report retrieves information regarding the batch records processed for import into NetSuite. This report gives information about the client number, the batch session ID, the batch process ID, the scheduled start time of the batch, the actual start time of the batch, the end time of the batch, and any error codes that may have been produced when the batch was processed.

Detailed Error Information Report

The detailed error information report retrieves detailed error information about failed records, i.e. records that were not successfully imported into NetSuite. This report gives information about the client number, source ID, source name, log number, create date, update date, object ID, the error message, and the number of retries remaining to process that item successfully.

Record Level Information Report

The record level information report retrieves record level information regarding successfully imported records in NetSuite. This report gives information about the client number, source ID, source name, initial date, update date, object ID, and external ID.
