Quote Functionality Enhancements (SFDCDEV-280)

Aria has completely revamped the Quotes functionality in Aria For Salesforce. You can now perform the following functions with Quotes:

  • Create new Quotes
  • Edit existing Quotes
  • Synchronize Quotes to Opportunities (via the standard Salesforce Quotes Sync button)
  • Synchronize Opportunities to new Quotes when a user creates new Quotes from Opportunities
  • Maintain synchronization of Quotes and Opportunities (if the standard Salesforce Quote Sync option is enabled)
  • Synchronize with Opportunities and your Aria instance when committing Quotes
  • Create Quote PDFs

Create a New Quote

Getting here: Account Page > Existing Opportunity

You can create a Quote under an existing Opportunity to use in conjunction with Aria accounts and your Aria product catalog.

  1. On an Account page with an existing Opportunity, mouse over the Opportunities link and click the title of the Opportunity under which you wish to create the Quote.dev-280_01_acctwopp.png

    Notice that, in this example, the "RW Recurring Opp" quote already has a plan associated with it, and that the relevant Aria field values are displayed.dev-280_02_oppdetails1.png
  2. Mouse over the Quotes link, and click the New Quote button.
  3. Type in a name for the Quote, then click Save. 
  4. At this point, you can add plans to the Quote by clicking the Add/Modify Plans button on the Quote page, or synchronize this new Quote with the Opportunity, at which time the Quote will inherit the plans associated with the Opportunity.

Create a New Aria Quote

You can create a new Aria Quote under an existing Opportunity to use in conjunction with Aria accounts and your Aria product catalog. If the Opportunity is in a "Closed" status, creating a new Aria Quote will automatically create a new Opportunity under which the Quote will exist.

  1. On an existing Opportunity page, either with or without plans, click the New Aria Quote button.
  2. A window pops up showing any active plans for the account. (In this case, there are no active plans.) Click the Next button.
  3. The resulting screen presents a number of different Aria-related options to associate with the new Quote. This example will demonstrate how to add a Billing Group and a Plan. Click the Get Started button in the Billing Groups box.
  4. Fill in Billing Group details, then click the Save button.dev-280_16_newariaquote_04.png

    1) The Billing Group Name will be associated with a Payment Method in Aria, once this Quote is committed.

    2) The Billing Contact can either be an existing contact, or a new contact.

    3) The Edit link, when clicked, allows you to modify contact details for the Billing Contact. This link will also appear when you specify a Statement Contact.

    4) For both the Billing and Statement Contact text boxes, when you begin typing, Aria For Salesforce automatically searches for an existing contact based on the input. If values are found, as in the screenshot above, they appear in a drop-down box from which you can select the appropriate contact.
  5. After clicking the Save button, Aria For Salesforce displays the list of Aria options shown in Step 3. Click the Get Started button in the Plan Selection and Configuration box. A list of available plans appears. Check the box next to each plan you wish to add to the Quote, then click the Add button.
  6. Aria For Salesforce displays a summary of plans to be added to the Quote. Click the Save button.
  7. The Aria options screen appears again. Click the dev-280_16_newariaquote_07.pngbutton.

Synchronize Quotes and Opportunities

Once you have created a Quote under an Opportunity, you may choose to synchronize that Quote with the Opportunity. This causes the associated plan(s), and any changes made to them (such as Custom Rates, Contract Terms, etc.) to synchronize between the two.

  1. On the Quote page, click the Start Sync button. dev-280_06_startsync.png
  2. On the resulting dialog box, click thedev-280_07_syncbutton.pngbutton.
    Note: Once clicked, the Quote plans overwrite the Opportunity plans.
  3. Once synchronized, the Quote and Opportunity inherit each other's updates, including plan modifications, billing groups, contracts, and coupons. 
  4. You can stop this synchronization at any time by clicking thedev-280_14_stopbutton.pngbutton. Neither the Quote nor the Opportunity will inherit changes from the other.

Create a Quote PDF

Once a Quote has one or more associated non-free plans or order items, you can create a PDF that includes the line item(s) with pricing.

Getting here: Quote Page

  1. On a Quote Page with at least one Account Plan or order item, scroll down to the Account section of the Quote Page and click the Create Aria PDF button.
  2. A pop-up displays with an embedded PDF for your review.dev-280_09_pdfsample.png
  3. Aria For Salesforce offers three actions to perform with the resulting PDF:

    1) Save to Quote: This saves a copy of the PDF and includes it within the Quote PDFs section of the Quotes page. You can click links next to that PDF to 1-Email it; 2-Delete it; or 3-View it:

    2) Save and Email Quote: This saves a copy of the PDF and allows you to enter or choose contact email information to which you want to send the PDF as an email attachment.

    3) Close: This closes the pop-up window with no further action.

Commit a Quote

Once your customer is ready to buy your service or item, you can commit your Quote, enter payment information, and synchronize the purchase between Salesforce.com and Aria. If the account has not yet purchased items from your Aria Product Catalog, this will create a new account in Aria based on the information within Salesforce.com.

Getting here: Quote Page > Add/Modify Plans button

  1. On the Quote page, click the Add/Modify Plans button.
  2. In the resulting popup, click the Commit button.
  3. If this Account Plan is associated with a new Billing Group, and that Billing Group is associated with a card payment method, you will be prompted to enter the card information.dev-280_13_ccentry.png
  4. Clicking the Done button will synchronize the Account information, including the new purchase, payment method, and payment transaction information, to Aria.

Aria for Salesforce Fixes

  • When creating an opportunity with a Master Plan and at least one Supplemental Plan, setting a Cancelation Credit from date, saving, then cancelling the Cancelation Credit, Aria For Salesforce now properly resets the paid thru date for the auto-cancelled Supplemental Plans. (TICKET-928)
  • Committing an opportunity with additional units of a plan and modified supplemental fields no longer fails with an "Attempt to de-reference a null object" error. (TICKET-929)
