Create Credits

Overview

Depending on your role's access and your Aria for Salesforce configurations, you can perform various credit functions from the Credits tab with the Aria Payments and Credits module. Depending on access and configuration, you can perform some or all of the following activities:

  • Create service credits, including recurring credits
  • Create cash credits
  • View, void, or delete previous credits

Aria supports two credit types:

  • Service Credit: A service credit is applied against future invoices and does not affect a customer's current outstanding balance. Service credits do not result in a negative balance, even if not fully consumed.
  • Cash Credit: A cash credit immediately reduces a customer's current outstanding balance. Cash credits can result in a negative balance, even if not fully consumed.

Create a Service Credit

Getting Here: Open an account > Aria Payments and Credits > Credits tab

  1. Select Service Credit for Credit Type.

  1. Select Subscription ID. The options in this drop-down are the master plans that have been committed to Aria. The subscription ID indicates to which plan the credit applies. 
  2. Select a Credit Reason.  Note that only Reason Codes defined with a type of cash credit display in this drop-down. See Create a Reason Code for additional information.
  3. Enter any additional comments in the CSR Comments field, if applicable.
  4. Enter the Initial credit date. Click the date link to select the first date on which the first credit is issued to the account. If you select Once for the Generation Frequency below, this is the only date on which the credit is issued to the customer.
  5. Select When to apply.
  • Against any charge: Select this option to apply the credit to any charge generated for the customer.
  • Against a specific type of charge: Select this option to apply the credit to a charge generated for a specific plan/service combination. If you select this option, you must select a service plan and a service code. Not selecting a service code applies the credit against any services under the plan.

  • Against specific service types(s): Select this option to apply the credit to a specific type of service.

  1. Select one of the following options from the Service code to use field:
  • Standard: Aria uses the default service code of 0 to identify the credit in invoice line items associated with the credit.
  • Alternative: Choose your own service code with which to identify the credit in invoice line items associated with the credit.
  1. Select one of the following options from the Generation Frequency field:
  • Once: The credit is applied once to the customer's invoice.
  • Multiple: The credit is applied to the customer's invoice more than once. Select the number of credits that should be applied as well as the months between each credit.

Note: All service credits with a Generation Frequency of Multiple can be viewed by clicking the Recurring Credits button at the top of the Credits tab screen.  

  1. Enter the Credit Amount
  2. Click Create Credit. A confirmation screen displays.

  1. Confirm your entries. Click Back if you need to make changes.
  2. Click Create Credit. The service credit is applied to the account's future invoices. 

Create a Cash Credit

Getting Here: Open an account > Aria Payments and Credits > Credits tab

  1. Select Cash Credit for Credit Type.

  1. Select Subscription ID. The options included in this drop-down are the master plans that have been committed to Aria. The subscription ID indicates to which plan the credit applies. 
  2. Select a Credit Reason.  Note that only Reason Codes defined with a type of cash credit display in this drop-down. See Create a Reason Code for additional information.
  3. Enter any additional comments in the CSR Comments field, if applicable.
  4. Select Apply Against and input Credit Amount:
  • Charges per standard FIFO method: Selecting this option uses the First In First Out (FIFO) method, which is the standard method of payment application. If selected, the credit is automatically applied against all unpaid charges on the account until fully satisfied, starting with the oldest unpaid charge.   Applying credits per the FIFO application method is considered a best practice in most situations, as it ensures the proper aging of charges on the account. The FIFO application method also determines when an account is in arrears, governing the entry into and exit from the dunning cycle. Enter a Credit Amount.

  • Invoices and other account-level charges: Selecting this option presents a list of account-level charges. Enter an Amount for the applicable charges. Credit Amount Invoices 3.20.png
  • Services (invoice line-items): Selecting this option presents a list of all unpaid charges on the account. Enter an Amount for the applicable charges. ​​​​​​​Credit Amounts Services Line 3.20.png
  1. Click Create Credit. A confirmation screen displays.

  1. Confirm your entries. Click Back if you need to make changes.
  2. Click Create Credit. The cash credit is immediately applied to the account's balance. 

Void a credit

If you have the required role access, and the Void configuration is enabled, you can void credits by clicking the Void link next to the record. To disable any incomplete service credit, click the corresponding Del link.
